Albert Park Baptist Church is a local church in the Albert Park and Port Melbourne area. Our mission is to support and transform the lives of people in this area. Our key word in this is ‘Wholeheartedly’. 

We have various ministries and events happening throughout the week. Next to our Sunday Service, we also have ministries focused on the children and young people in our community. We have small groups and connect with the local Food Van as well.

As the Church Administrator you will provide support to our leadership and staff, and will liaise with volunteers and contractors to ensure that everything will run smoothly.

Position Title

Church Administrator

Principal Function

To provide administrative support to the operations of the Albert Park Baptist Church. 

Terms and Conditions

  1. Part Time – Three (3) or Four (4) days per week
  2. Four (4) weeks annual leave 
  3. Equivalent of 4 Weeks Annual Leave.
  4. Continuation in the role is contingent upon a satisfactory review after three months.

Accountabilities, responsibilities and duties

Reception

  • Be the point of contact for visitors or enquiries through phone and mail. Management of physical and digital mail, and, if necessary, delegation of enquiries.

Communications

  • Maintain the various communication channels, e.g. website, church sign, social media, e-newsletter, sermon promotional material and other promotional materials when necessary (flyers, posters, etc).

Administration Duties

  • Provide administrative support to deacons, pastors and volunteers. Prepare Quarterly Church Meetings and the Annual General Meeting.
  • Maintain up to date data management. Keep the Church directory and Mailchimp database accurate, run reports from databases as required and manage the archive according to BUV guidelines.
  • Provide support to Treasurer through processing of reimbursements and bills, handle insurance claims.
  • Develop and maintain up to date policies and guidelines when necessary, keeping track of new developments (e.g. child safety).

Ministry Support

  • Provide weekly ministry support to the Children’s and Youth Ministries
  • Provide administrative support for the worship preparations, attendance sheets, ProPresenter slides, send weekly order of services to the volunteers.

Facilities

  • Be the initial point of contact for everything related to the facilities: liaison with facility hirers, preparations of contracts and invoices, making sure the facilities are in good order.
  • Maintain supplies, both in the office and in the facilities
  • Provide assistance in event management and coordination: booking the facilities, provide promotional materials for ministry events, initial point of contact for weddings, support coordination for funerals.
  • Keeping track of events in the booking calendar
  • Liaise with Building Crew, source quotations, coordinate trades people and their inductions. Keep in touch with cleaners of our facilities.
  • Make sure the kitchen is in order throughout the week.

Volunteers

  • Provide support to volunteers and staff: create quarterly rosters, fill gaps, organise annual sign-up event; induction of new coordinators, staff or deacons, keep up to date records of WWCC and police checks.
  • Support the Safety Officer in everything related to Duty of Care, schedule external checks (fire equipment and emergency lights).

Characteristics

It is anticipated that you will:

  1. Have had a strong and growing relationship with Jesus Christ and be open to and dependent upon the Spirit of God
  2. Are keen to work within the vision and mission of Albert Park Baptist Church
  3. Have some formal training that demonstrates your commitment to administration, or have prior working experience in the area of administration
  4. Have excellent communication skills backed up by the ability to use technology, applications and social media to provide administrative support
  5. Highly skilled in Microsoft Word and Excel

It is highly desirable that you have:

  1. It is highly desirable that you have experience in Adobe Indesign or equivalent (Illustrator, Photoshop).
  2. Have experience in working with volunteers
  3. Are a quick learner when it comes to using new IT programs
